FUNCTIONAL AND TECHNICAL DESCRIPTION
1. Functional description of the Platform (according to the scope subscribed to in the Commercial Proposal)
The Platform published by the Provider enables the collection, management, processing, analysis and reporting of data using digital tools accessible online.
Depending on the modules and options subscribed to by the Client, the Platform may, in particular, allow:
- the creation and management of forms, questionnaires or data collection devices
- the dissemination of these devices to target audiences through various channels (web, email, secure links or other digital means)
- the collection and storage of responses or information transmitted by users or respondents; ;
- the management and administration of authorized users of the Platform
- the visualization, analysis and use of collected data, particularly in the form of dashboards, statistics, graphs or data exports
- the management and administration of projects, surveys or data collection campaigns
- the production and distribution of reports or deliverables intended for the Client or authorized third parties
- the management of access rights and data security
- possible integration with third-party services or applications.
The on-site software published by the Provider enables the collection, management, processing, analysis and reporting of data, using software installed on the Client's infrastructure.
Depending on the modules and options selected by the Client, the on-premises Software can, in particular, enable:
- the design and advanced administration of data collection devices (questionnaires, surveys, studies); ;
- the management of local databases or databases interfaced with the Client's information system
- data processing, structuring, quality control and transformation
- the performance of advanced statistical, multidimensional or decision-making analyses
- the production of dashboards, customized reports and complex presentations
- the automation of processing and data flows
- Integration with the Client's tools, databases or business applications
- user management, access rights and data security within the Client's environment.
The details of the features actually made available to the Client depend on the scope subscribed to in the Commercial Proposal and the options chosen by the Client.
It is specified that campaigns exceeding 100,000 emails or data collections exceeding one million records constitute an option not included by default in the Subscription, unless a specific subscription is included in the Commercial Proposal.
2. Technical description
The Platform is primarily provided as a remotely accessible software service (SaaS) via the internet.
- a software and technical architecture hosted on secure infrastructures, operated directly by the Provider or by third-party hosting providers
- databases enabling the storage and management of collected information
- web interfaces accessible via a standard internet browser
- security mechanisms designed to protect access, integrity and confidentiality of data.
The detailed technical characteristics of the Platform, in particular in terms of architecture, hosting, security and technical integration, can be communicated to the Client upon request, to the extent compatible with the Provider's security and confidentiality requirements.
3. Artificial Intelligence Systems («AIS»)
The parties agree that the integrated AI systems within the Platform and the use made of them by the Client are at limited risk.
On the date of signing the Contract, the Platform integrates the following artificial intelligence systems:
1. Function: Data analysis assistance and content generation
- Supplier: third-party supplier – Open AI as of the date of signature of this agreement
- Model type: Natural Language Processing (NLP) models and/or statistical machine learning models
- Purpose: to assist in the analysis of collected data, generate summaries, suggest content, or help interpret results
- Known limitations:
- Possibility of errors (hallucinations)
- Requires human validation by the Client (deployer)
- Dependence on the quality and completeness of the data provided by the Client
- Available documentation: technical or functional documentation available upon request
User feedback is used to improve the model implemented in the Client's environment.
2. Function: automated data processing or classification
- Supplier: third-party supplier – Open AI as of the date of signature of this agreement
- Model type: Natural Language Processing (NLP) models and/or statistical machine learning models
- Purpose: categorization, grouping, extraction or structuring of data collected on the Platform
- Known limitations:
- Possibility of errors (hallucinations)
- Requires human validation by the Client (deployer)
- Dependence on the quality and completeness of the data provided by the Client
- Available documentation: technical or functional documentation available upon request
The Provider reserves the right to replace one or more SIAs, ensuring that the replacement SIAs comply with applicable regulations, which the Client accepts without the need for an amendment to the Contract. The Provider will inform the Client by email through their usual contact person.
4. Prerequisites
Platform :
To use the Platform effectively, the Client must, in particular:
- have a stable and secure internet connection; ;
- use a commonly used, recent and up-to-date internet browser; ;
- have the necessary computer equipment (computer, tablet or other compatible device); ;
- ensure the security of user access (usernames, passwords, authorization management); ;
- provide the data, content or information necessary for the use of the Services in a format usable by the Platform; ;
- to ensure that the transmitted data complies with applicable regulations, particularly regarding the protection of personal data.
Depending on the Services subscribed to, certain additional technical settings, configurations or integrations may be required; these will then be mentioned in the Commercial Proposal.
On-premises software:
To use the Software on-site effectively, the Client must, in particular:
- Have a compatible IT infrastructure (servers, workstations, operating systems, databases, internal network) that meets the technical requirements communicated by the Service Provider
- to ensure the installation, configuration, administration and maintenance of its IT environment, unless otherwise stipulated in the Commercial Proposal
- to have the necessary rights, licenses and access to the systems, software and databases used in connection with the Software
- Ensure the security of its information system, particularly with regard to access management, backups, updates, and protection against intrusions or malware.
- Ensure the quality, conformity and integrity of the data used with the Software
- have competent internal resources or qualified service providers to operate and administer the Software
- provide the data, content or information necessary for the use of the Software in a usable format
- to ensure that the data processed complies with applicable regulations, particularly regarding the protection of personal data.
Depending on the Services subscribed to, certain additional technical settings, installations, configurations or integrations may be required, and will then be specified in the Commercial Proposal.
